1. Information We Collect

We collect the following information when you use AnytimeFax:

• Phone number — required for identity verification. Used once per free plan order.
• Name and email — optional fields collected at checkout for order correspondence.
• Documents — uploaded files are stored temporarily to facilitate fax transmission.
• Card details are entered into Square's hosted payment form and processed by Square. We do not store card data.
• IP address and device info — logged for fraud prevention and compliance.

2. How We Use Your Information

• To process and deliver your fax order
• To verify your identity via OTP
• To correspond with you about your order status
• To detect and prevent fraudulent activity
• To comply with legal obligations

3. Data Retention

Documents and files attached to an order are kept until 30 days after it reaches a final status (sent, completed, failed, rejected, refunded, or closed), then removed by a daily cleanup. Unattached uploads are removed 30 days after upload. Order records—including contact and payment information, notes, status history, messages, and notifications—are retained for 1 year after completion, or 1 year after creation if the order is never completed, then deleted. The cleanup also runs when the server starts.

4. Sharing of Information

We do not sell your data. We share data only with:

• Square — for payment processing
• Twilio — for SMS/WhatsApp OTP verification
• Internal team — for order processing and support
• Law enforcement — when legally required

5. Your Rights

You have the right to request deletion of your personal data. Contact us at support@anytimefax.com with your phone number or Order ID. We will process requests within 30 days.

6. Security

Data is transmitted over TLS. Uploaded documents are stored encrypted with AES-256 in private storage, and access is limited to authorized personnel. Documents are deleted 30 days after the order is completed. Order and consent records are kept for the retention period stated in this policy. We record the consent you give at checkout, including the timestamp, IP address, user agent and the text accepted, to document your acceptance.

7. Changes

We may update this policy from time to time. We will notify users of material changes via our website.
